Business Email Archives as AI training data
For many companies, especially outside tech, email is the system of record: purchase orders arrive in a shared inbox, quotes go out as attachments, and disputes are resolved over long reply chains. Selected archives can show how real business tasks are handled from request to resolution. Momentra assesses whether yours qualify, and is careful about the personal and third-party data email contains.
Can Business Email Archives be used as AI training data?
Business email archives can be licensed as AI training data when scope focuses on shared role mailboxes such as orders@ or accounts@. Full reply threads, attachments like quotes and purchase orders, and canned reply templates are the most valuable content. Personal mailboxes are generally excluded, and the names, signatures and phone numbers of customers and suppliers are removed.
No files needed upfront. We sign an NDA before reviewing any sample.
What can be included
You choose the scope. These are the parts of Business Email Archives that are typically most useful.
- ✓Shared or role mailboxes such as orders@, accounts@, support@ or procurement@
- ✓Full reply threads with headers, timestamps and quoted history
- ✓Attachments such as quotes, invoices, specs and purchase orders
- ✓Folder and label structures that show how mail was triaged
- ✓Mailbox exports in PST, MBOX or EML format
- ✓Templates and canned replies used for common requests
Why AI labs value it
End-to-end business tasks
An order desk thread might start with a request, include a quote attachment, a price negotiation and a final confirmation. That shows a complete task with a clear result.
Documents in context
Attachments arrive with the message explaining what they are and what to do with them. Models learning to process business documents benefit from that surrounding context.
Non-technical industries
Manufacturers, distributors, law firms and agencies often run on email. Their archives reflect work that is barely present in public training data.
How it is scoped, exported and anonymized
Role mailboxes, not personal ones
Scoping usually focuses on shared, function-based mailboxes. Personal mailboxes contain far more private content and are generally excluded.
Third parties in every thread
Emails include customers, suppliers and partners who wrote to you. Their names, addresses, signatures and phone numbers are removed or replaced, and some correspondence may need permission or must be excluded.
Export from your mail system
Microsoft 365 (via Purview), Google Workspace (via Vault) and on-premise Exchange all support mailbox exports. Your IT team usually runs them after the NDA, for agreed date ranges.

Receive an Offer and Begin the Partnership
We provide a purchase proposal and contract, then support de-identification and secure data transfer.
Frequently asked questions
- Can privileged legal emails be included?
- Generally they should not be. Correspondence with lawyers is usually excluded. Your counsel should advise, and this is not legal advice.
- Do attachments get de-identified too?
- Yes, if they are in scope. Invoices, contracts and spreadsheets attached to emails are scanned for personal and confidential data like the message bodies.
- We have a decade of email. Does more history help?
- Longer history can mean more complete workflows, but only relevant, work-related mailboxes are worth including. The assessment helps narrow it down.
- Is marketing or newsletter email useful?
- Usually not. Bulk mail and notifications add little and are typically filtered out during preparation.
