Accounting Ledgers (QuickBooks, Xero…) as AI training data

Bookkeeping is a long series of small judgements: which account a bank line belongs to, when to accrue, how to fix a reconciliation that does not tie out. Ledgers from QuickBooks, Xero, Zoho Books and similar tools record those judgements alongside a result that can be checked. That is why well-kept books may be useful to AI developers building finance assistants.

Can Accounting Ledgers (QuickBooks, Xero…) be used as AI training data?

Accounting ledgers from QuickBooks, Xero or Zoho Books can be used as AI training data for finance assistants. Journal entries with memos, bank feed lines with their matches and categorisations, and month-end close checklists are the most valuable elements. Names in bank descriptions are replaced, payroll journals are usually excluded unless aggregated, and amount treatment is agreed in scoping.

No files needed upfront. We sign an NDA before reviewing any sample.

What can be included

You choose the scope. These are the parts of Accounting Ledgers (QuickBooks, Xero…) that are typically most useful.

  • ✓Chart of accounts and general ledger detail by period
  • ✓Journal entries with memos, including adjusting and reversing entries
  • ✓Bank feed lines with the matches, bank rules and categorisations applied to them
  • ✓Accounts payable and receivable: bills, invoices, payments, credit notes and ageing
  • ✓Tax codes and their mapping to GST or VAT returns
  • ✓Audit logs showing who changed which transaction and when
  • ✓Month-end close checklists and accrual schedules kept alongside the books

Why AI labs value it

Categorisation with ground truth

A raw bank description next to the account it was finally coded to is a clean training example. Thousands of these, including corrections, teach a model how a bookkeeper reads ambiguous transactions.

Reconciliations that tie out

A reconciled bank account either balances or it does not. That makes ledger data unusually checkable, which is valuable for evaluating finance agents.

Accountant reasoning in adjustments

Adjusting entries and their memos show how an accountant fixed a misclassification or recognised an accrual. These are the judgement calls that automated bookkeeping still gets wrong.

How it is scoped, exported and anonymized

01

Export by entity and period

General ledger detail, journals and reconciliation reports can be exported from each tool's reports or pulled through its accounting API. Scope is set by legal entity and financial year.

02

Remove individuals from transaction text

Bank descriptions often include UPI IDs, account numbers and the names of contractors or employees. These are detected and replaced. Payroll journals are usually excluded unless aggregated.

03

Agree how amounts are treated

Whether exact amounts are kept, shifted or bucketed is agreed during scoping. Many uses only need the structure and relative sizes, not your real figures.

How a partnership begins

01 / CONTACT

Share Basic Information

Share only your contact, company, industry, and partnership interests—no raw data required.

02 / DISCOVER

Initial Value Assessment

We discuss the data type, completeness, scarcity, and the tasks it could support.

03 / PROTECT

Define the NDA and Boundaries

Before reviewing any sample, we define confidentiality, permitted use, retention, and security requirements.

04 / PARTNER

Receive an Offer and Begin the Partnership

We provide a purchase proposal and contract, then support de-identification and secure data transfer.

Frequently asked questions

We are an accounting firm with many client files. Can we include them?
Only with each client's permission, because the books belong to them. Your firm's own practice data, such as close checklists and internal ledgers, can be assessed separately.
Does small business bookkeeping qualify?
It may. Small businesses have messy, varied transactions, which is useful. The assessment looks at how consistently the books were kept and how many periods are complete.
Is payroll part of this?
Not by default. Payroll contains salary and identity data for employees and is normally excluded, or included only as aggregated journal totals.
Will our revenue figures be visible to anyone?
Only as agreed. Company identity is removed, and figures can be transformed so they no longer reflect your real numbers. Confidentiality terms are set in the NDA and contract.
