Google Workspace Files as AI training data
Google Drive is where many teams draft, review and finish their work together. A Doc with suggestion edits, resolved comment threads and dozens of revisions shows how a proposal or policy actually took shape. Momentra helps companies assess whether their shared drives hold that kind of collaborative history and prepare it for licensing.
Can Google Workspace Files be used as AI training data?
Google Workspace files can be licensed as AI training data when they show collaborative drafting history. Docs with suggested edits and resolved comment threads, Sheets with formulas and Apps Script, and revision history are the most valuable content. Scope usually covers selected shared drives rather than personal My Drive folders, and form responses and client-shared files get special review.
No files needed upfront. We sign an NDA before reviewing any sample.
What can be included
You choose the scope. These are the parts of Google Workspace Files that are typically most useful.
- ✓Google Docs with suggested edits, comment threads and resolutions
- ✓Google Sheets with formulas, pivot tables and bound Apps Script projects
- ✓Google Slides decks and the documents they were built from
- ✓Revision history showing how files changed between drafts
- ✓Shared drive folder structures and file naming conventions
- ✓Google Forms definitions, with responses only where scoped in and de-identified
Why AI labs value it
Review and revision in one place
Suggestions, replies and the final accepted text show how a document was critiqued and improved. That draft-to-final trail is useful for models that edit, review or summarise work.
Linked work across files
Docs link to Sheets, Slides embed charts and folders group a project's files. Agents that work across a real Drive need examples of these connections.
How teams organise knowledge
Shared drive structures reflect how a company groups clients, projects and functions. That context helps models find and file documents the way people expect.
How it is scoped, exported and anonymized
Scope by shared drive
Partnerships usually cover selected shared drives owned by teams, not individual My Drive folders. This keeps personal files out and makes ownership clear.
Export comments and revisions deliberately
Google Takeout and Office-format exports do not always carry full comment threads, suggestions and revision history. The Drive API's comments and revisions endpoints are often used to capture them alongside each file.
Review personal and client content
Form responses, contact lists and files shared in by clients or partners get special review. Names and emails in comments and file metadata are pseudonymised.
How a partnership begins
Share Basic Information
Share only your contact, company, industry, and partnership interests—no raw data required.
Initial Value Assessment
We discuss the data type, completeness, scarcity, and the tasks it could support.
Define the NDA and Boundaries
Before reviewing any sample, we define confidentiality, permitted use, retention, and security requirements.
Receive an Offer and Begin the Partnership
We provide a purchase proposal and contract, then support de-identification and secure data transfer.
Frequently asked questions
- Does this include Gmail?
- Gmail is handled as a separate data type because email raises different privacy questions. See our page on business email archives.
- Can employees' personal My Drive folders be included?
- Normally no. Personal folders may contain private material, so scope is usually limited to shared drives that belong to the business.
- Some files were shared with us by clients. What happens to them?
- Files owned by or created for clients are excluded unless the client agrees. Drive sharing metadata helps identify them during scoping.
- Is Apps Script code useful?
- Yes. Scripts that automate reports, approvals or data clean-up show how a business extended its tools, and they are usually low in personal data once embedded emails are removed.
