SharePoint & Microsoft 365 Files as AI training data
In many enterprises SharePoint is the official record: controlled documents, project sites, custom lists that act as small apps, and Power Automate approvals running on top. Version history and metadata show who changed what and why. Momentra helps organisations assess whether that content could be licensed or sold as training data, using the classifications they already maintain.
Can SharePoint & Microsoft 365 Files be used as AI training data?
SharePoint and Microsoft 365 files can be licensed or sold as AI training data, using the classifications you already maintain. Document libraries with version history, SharePoint lists used as trackers, and Power Automate approval flows are the most valuable assets. Purview sensitivity labels can drive scoping so confidential, HR or legal-hold content stays out, and person columns are pseudonymised.
No files needed upfront. We sign an NDA before reviewing any sample.
What can be included
You choose the scope. These are the parts of SharePoint & Microsoft 365 Files that are typically most useful.
- ✓Document libraries with Word, Excel and PowerPoint files and their version history
- ✓SharePoint lists used as trackers, registers or request queues, with column definitions
- ✓Power Automate flows attached to libraries and lists, including approval history
- ✓Content types, managed metadata and term store taxonomies
- ✓Site pages and intranet news posts
- ✓Check-in comments and file-level metadata such as status and document owner role
Why AI labs value it
Approvals with recorded outcomes
Power Automate approval runs record the request, the approver's response and the comment. That is a clean decision log tied to a specific document or list item.
Enterprise taxonomy
Content types and term stores show how an organisation classifies its knowledge. Models that file, search or route documents in large companies need this structure.
Controlled document history
Major and minor versions with check-in comments show how policies, procedures and contracts evolved. It is a well-ordered record of edits made for real reasons.
How it is scoped, exported and anonymized
Use existing sensitivity labels
If you use Microsoft Purview sensitivity or retention labels, they can drive scoping. Content labelled confidential, HR or legal hold is typically excluded from the start.
Export through Microsoft Graph
Files, versions, list items and metadata are usually exported through the Microsoft Graph API or PnP PowerShell, scoped by site collection. Flow definitions are exported separately.
Strip people from metadata
Created by, modified by and person columns in lists hold names and emails. These are pseudonymised, and document bodies are scanned for personal data.

Initial Value Assessment
We discuss the data type, completeness, scarcity, and the tasks it could support.
Define the NDA and Boundaries
Before reviewing any sample, we define confidentiality, permitted use, retention, and security requirements.
Receive an Offer and Begin the Partnership
We provide a purchase proposal and contract, then support de-identification and secure data transfer.
Frequently asked questions
- Are Teams files included?
- Files shared in Teams channels are stored in SharePoint and can be scoped like any other library. Teams chat messages are a separate data type with their own considerations.
- What about OneDrive?
- OneDrive holds individual users' files, so it is normally out of scope. Business documents that matter usually also exist in team sites.
- Can SharePoint lists be useful without documents?
- Yes. Lists used for requests, risks or asset registers often record a full workflow with statuses and approvals, which is valuable on its own.
- Do we need Microsoft's permission?
- Your documents are generally your own data, but you should review your agreements. Microsoft is named descriptively; Momentra has no official partnership with Microsoft.
