SOPs & Process Documentation as AI training data

Standard operating procedures describe how work is supposed to happen: who does what, in which system, with which checks. On their own they are instructions; paired with tickets, ERP logs or screen recordings of the same task, they show how the written process compares with what people really do. That pairing is useful for AI agents that need to follow business procedures.

Can SOPs & Process Documentation be used as AI training data?

SOPs and process documentation can be sold or licensed as AI training data, most usefully when paired with tickets or ERP logs of the same task. Step-by-step SOPs with decision points, process maps and deviation or CAPA records are the strongest assets. Screenshots in work instructions are redacted, and procedures revealing formulations or security controls can be left out.

No files needed upfront. We sign an NDA before reviewing any sample.

What can be included

You choose the scope. These are the parts of SOPs & Process Documentation that are typically most useful.

  • ✓Step-by-step SOPs with roles, inputs, outputs and decision points
  • ✓Work instructions with annotated screenshots of the systems used
  • ✓Process maps in BPMN, swimlane, Visio or Lucidchart form
  • ✓RACI matrices and escalation paths
  • ✓Controlled document registers and revision logs, for example under ISO 9001 or GMP
  • ✓Checklists, runbooks and onboarding guides
  • ✓Deviation and CAPA records showing where a process failed and how it was fixed

Why AI labs value it

Written rules to compare with behaviour

When an SOP can be matched to execution data from the same process, models can learn both the rule and the realistic exceptions to it.

Explicit decision points

Good SOPs spell out conditions such as when to escalate, when to reject and who approves above a threshold. These are the rules an agent must follow in a real workflow.

Improvement over time

Revision logs and CAPA records show why a procedure changed after something went wrong. That cause-and-fix trail is rarely written down outside regulated industries.

How it is scoped, exported and anonymized

01

Collect the controlled versions and history

The current approved version plus its revision log is more useful than loose copies. Document management exports usually preserve both.

02

Redact screenshots

Work instructions often include screenshots taken from live systems, with customer names, account numbers or employee details visible. These are found and masked.

03

Decide on trade secrets

Some procedures reveal formulations, supplier terms or security controls. You decide which SOPs are in scope, and sensitive ones can be left out or generalised.

How a partnership begins

01 / CONTACT

Share Basic Information

Share only your contact, company, industry, and partnership interests—no raw data required.

02 / DISCOVER

Initial Value Assessment

We discuss the data type, completeness, scarcity, and the tasks it could support.

03 / PROTECT

Define the NDA and Boundaries

Before reviewing any sample, we define confidentiality, permitted use, retention, and security requirements.

04 / PARTNER

Receive an Offer and Begin the Partnership

We provide a purchase proposal and contract, then support de-identification and secure data transfer.

Frequently asked questions

Our SOPs are outdated. Are they still useful?
Older versions still have value, especially with revision history. A gap between the SOP and current practice can itself be informative when paired with system data.
We are in a GMP-regulated industry. Does that change anything?
Regulated SOPs are often well structured, which helps. Product-specific details, batch records and anything tied to regulatory submissions get closer review.
Do we need to pair SOPs with other data?
No, but it usually helps. SOPs alone may qualify, while SOPs linked to tickets, ERP records or screen recordings of the same tasks are typically more useful.
Can process maps in Visio or Lucidchart be included?
Yes. Exported diagrams, ideally in a structured format such as BPMN XML or VSDX rather than only images, keep the steps and connections intact.
